Privacy policy
Last updated 25 September 2026
This covers the GOSS SOP Builder — the tool that turns a recording of a process into a written procedure. It is written in plain English and describes what the tool actually does. We handle your information in line with the Australian Privacy Principles.
What we collect
When you register. Your name, work email and business name, your phone number if you give us one, and your answers to the questions on the form — whether you are the decision-maker, your team size, how many hours a week you think you could hand over, what has stopped you, your industry, the software you use, and where you heard about us.
When you record. Whatever is on the part of your screen you choose to share, and your voice if your microphone is on. We also keep still screenshots taken from the recording as it runs, and a written transcript of the audio.
As you use it. Your SOPs, and how many minutes you have recorded, which is how the free allowance is counted.
What we do with it
Your recording is used to write your SOP, and for nothing else. Your registration details set up your account, send your sign-in code, and let GOSS email you about how we might help your business — that is the exchange for a tool we do not charge for.
Every one of those emails has an unsubscribe link at the bottom, and we stop as soon as you use it. Unsubscribing does not touch your account: your SOPs and recordings stay, you can still sign in, and signing in again does not put you back on the list. Your sign-in code is not one of those emails and has no unsubscribe — without it you could not get into your own account.
We do not sell your information, and we do not pass it to anyone outside GOSS except the service providers listed below, who process it on our behalf.
What we keep, and what we delete
The video is deleted as soon as your SOP is written. It exists to carry the audio for transcription and to be sampled into screenshots. Once the SOP exists nothing reads it again, so it goes automatically. You do not have to ask.
There is one exception. If the transcription fails, your SOP is written from the screenshots alone and the video is the only record of what you said — so it is kept, and flagged for someone at GOSS to look at and decide whether the SOP needs redoing.
The transcript, the screenshots and the SOP are kept until you delete them or ask us to. They are what your SOP is made of and what it is rebuilt from. We have not set an automatic deletion date for them, and we would rather say so than name a period we do not enforce. We are working out the longest period we should keep them for, and we will set one out here once we have.
If you ask us to delete something, we will do it within 30 days and confirm when it is done.
Your registration details are kept as a business contact until you ask us to remove them.
Who can see your SOP
You, and GOSS. Every SOP this tool makes is read by someone at GOSS — to check the tool did a good job, and to see whether there is anything else we can help with: an assessment of where AI could take work off your hands, or offshore support for the role the process belongs to. That is a conversation we have with you, not something the tool decides.
That is the arrangement, rather than something you opt into afterwards. We would rather say so here, and in the notice before you record, than pretend the tool is free for no reason.
Our team works from Australia and the Philippines, so the person who reads your SOP may be in either. We tell you because it means your SOP may be read outside Australia, not only processed there.
We only read an SOP once you save it or download it. Until then it is a draft you are still working on, and we leave it alone. The people who look after our systems can reach the underlying storage, so this is a commitment about what we do, not something the software stops us from doing.
Sensitive-looking details are blurred automatically in the screenshots. You can blur more by hand, and you can turn the automatic blurring off for a project — in which case nothing is blurred unless you do it yourself, including in the version we read. It is your process, and how much of it you show us is your call. GOSS sees your current version.
If you would rather we did not read a particular SOP, tell us and we will remove it.
Who else handles your information
These providers process information on our behalf. Everything they receive is sent encrypted.
Supabase · Singapore
Stores your account, your recordings, screenshots and SOPs, and runs the sign-in.
Vercel · Outside Australia
Runs the application itself.
ElevenLabs · Outside Australia
Receives the audio of your recording and returns a written transcript.
Anthropic · Outside Australia
Receives the transcript and screenshots, and writes the SOP steps from them.
Resend · Outside Australia
Sends your sign-in code and other email from the tool.
The GOSS client portal · GOSS's own system — Australia and the Philippines
Receives your registration details, and your SOP once you have released it. Our team works from both countries, so it may be read in either.
Model training is switched off on our accounts with ElevenLabs and Anthropic, so your recording is not used to train their models. We last confirmed this on 18 September 2026, and we check it each quarter.
Processing your recording outside Australia is how the tool works — the transcription and the writing both happen there — so it is not something you can turn off and still get an SOP. You agree to it before you record, and if you would rather not, do not record.
Your choices
You can ask us to:
- send you a copy of what we hold about you
- correct anything that is wrong
- delete your SOPs, your recordings and your account
- stop using your details to contact you about GOSS services
Email info@goss.global and we will do it. There is no charge, and you do not need to give a reason.
Most of it you can do yourself, without asking. From your dashboard you can edit or blur anything in an SOP, delete a single SOP, or delete your whole account — your SOPs, the transcripts and screenshots behind them, any recording still held, and your sign-in. That happens straight away, and it cannot be undone.
Deleting your account does not remove the details you gave us when you registered. Those stay as a business contact, which we tell you before you confirm. Email info@goss.global if you would like them removed as well.
Keeping it safe
Your information is encrypted in transit and stored encrypted. Access to the underlying systems is limited to the GOSS management team, both require two-factor authentication, and nobody outside GOSS has access. No system is perfectly secure, and we would rather say that than claim otherwise.
The tool records whatever is on the screen you share, so the most useful thing you can do is close anything you would not want captured before you start.
If something goes wrong. If information about you is lost, or seen by someone who should not have seen it, we look into it straight away. Where it affects you, we will tell you within 72 hours of working out that it does — what happened, what it involved, and what we are doing about it. Where the law requires us to tell a regulator, we will. We have a written plan for this with named people against each step, because a promise without a process behind it is worth nothing.
If your recording captured your own customers’ information, we will tell you rather than them — they are your customers, we have no way of knowing who they are, and you are the one who can reach them.
Complaints, and getting in touch
Write to info@goss.global with anything at all — a question, a request, or a complaint. We will come back to you.
One thing we would rather be straight about. GOSS is a small business, and small businesses are generally outside the Privacy Act 1988. That means the Office of the Australian Information Commissioner usually cannot take a complaint about us, and we would rather tell you that than send you somewhere you would be turned away.
What we commit to instead is on this page, and we are accountable for it: a statement about how we handle your information has to be true, and you can hold us to it. If we have not sorted something out to your satisfaction, say so plainly and we will escalate it internally — and you are free to take your own advice about your options.
Changes
When the tool changes, this page changes with it. The date at the top is when it was last revised.
